Privacy policy

What data we process, why and for how long, and what rights you have.

Data controller

The controller of your personal data is KARGIO TRADE, Tax ID (NIP) 7312099414, REGON 545716469. For matters concerning personal data, write to sprzedaz@kargiotrade.pl.

What data we process and why

When you send a request through the form or by email, we process the data you provide in it: your name, company name, email address, phone number, delivery address, the content of the request and any attachments. We do this to prepare a quote and to correspond with you.

The legal basis is our legitimate interest, namely responding to your request and maintaining business contact with the company you represent (Art. 6(1)(f) GDPR). If you enter into a contract with us yourself, the legal basis is taking steps prior to entering into the contract and performing it (Art. 6(1)(b) GDPR).

Once a contract has been concluded, we keep sales documents because tax and accounting laws require it (Art. 6(1)(c) GDPR).

Who we share data with

Data may be passed to the service providers we use: website hosting, email, the system for handling requests and accounting software.

When fulfilling an order, we pass the data needed for delivery, namely the recipient's name, the delivery address and the contact person for delivery notification, to distributors and carriers.

Some service providers may process data outside the European Economic Area. In that case, the transfer is based on a European Commission decision finding an adequate level of data protection or on standard contractual clauses.

How long we keep data

We keep correspondence about a request that did not lead to an order for up to 2 years from the last contact.

We keep sales documents for 5 years from the end of the year in which the tax payment deadline expired. We keep data needed to establish or defend claims until those claims become time-barred.

Your rights

You have the right to access your data, to have it rectified or erased, to restrict its processing and to data portability, as well as the right to object to processing based on legitimate interest. To exercise these rights, write to sprzedaz@kargiotrade.pl.

You also have the right to lodge a complaint with the President of the Personal Data Protection Office (UODO) in Poland.

Do you have to provide your data?

Providing data is voluntary. However, without an email address we cannot reply to your request, and without a delivery address we cannot prepare a quote that includes the cost of transport. We do not make automated decisions or carry out profiling.

Cookies and server logs

This website does not use cookies or analytics tools. The server may record IP addresses and information about connection errors in technical logs. We delete them after 14 days at the latest.
